Job Description

This role will involve a broad range of Administrative & Secretarial duties associated with those commonly required by Technical Industrial Sales firms. We need an energetic, self-starting, quick learner with a strong desire to become a reliable resource to others. 

Applicants will need to demonstrate an ability to be productive with multiple tasks, manage priorities, communicate effectively, and maintain a high level of organization in both individual workflow and in the surrounding office environment. Success in this role will require an ability to quickly familiarize yourself with the work environment and to proactively look for productive ways to help others. 

As an Administrative Assistant/Secretary you will aim to become an indispensable assistant through productive task management, strong organization, and quick development into a reliable internal/external resource. Some of the ways you'll be involved are:

  • Proposals - assemble, proofread, transmit
  • Run reports and maintain quote logs
  • Maintain product literature
  • Field incoming phone calls, route calls appropriately, effectively communicate with customers/manufacturers/suppliers, follow-ups
  • Maintain contact information for customers/manufacturers/regional contacts
  • Maintain and organize sales support information (drawings/brochures/presentations/photos/etc.)
  • Assist with order processing, tracking, and follow-up
  • Handle incoming and outgoing mail activities
  • Maintain and organize physical and electronic record-keeping systems
  • Maintain and operate office supplies and office equipment
  • Coordinate company activities - travel/meetings/accommodations
  • Assist with correspondence using Office 365 platform
  • Maintain and develop improvements in office efficiency 

Other areas of involvement will include, but are not limited to:

  • Inside sales activities
  • Customer service activities
  • Provide support and assistance to branch office locations
  • Month-end and year-end support for sales and financial operations

 

Qualifications / Education / Skills / Experience 

Trustworthy, honest, dependable, reliable, conscientious, outgoing, and energetic “can-do” attitude are a must. Must be a quick learner, and most importantly, have a genuine desire to meet the needs of others. An Associate Degree or prior experience in a related business environment are preferred. Must have excellent written and oral communication skills; a strong attention for details; and must be proficient in the Office 365 platform (Outlook, Word, Excel, etc.) Must be well organized, handle multiple tasks and consistently meet deadlines.
